Responsibilities:

  • Manage calendars, schedule meetings, and coordinate across time zones
  • Organize meeting agendas, take notes, and ensure action items are followed up
  • Maintain internal trackers, SOPs, and documentation libraries (Notion/ClickUp)
  • Support client onboarding with email coordination and documentation management
  • Assist with basic research and data entry for client projects and internal ops
  • Monitor Slack, email, and CRM activity to ensure nothing is missed or delayed
  • Prepare reports, update project dashboards, and surface status summaries
  • Handle light personal admin support for executives (occasionally)

NAITUR Agency is looking for a proactive and highly organized Virtual Assistant to support our leadership team and client delivery operations. This role is ideal for someone who thrives in a dynamic remote environment, can juggle multiple responsibilities, and has a sharp eye for detail. You’ll play a critical role in managing schedules, coordinating team workflows, and ensuring timely follow-ups across both internal and external touchpoints.

You’ll handle a wide range of administrative and operational tasks, including inbox and calendar management, meeting preparation, basic research, CRM updates, and light project coordination. You’ll work closely with our Operations Manager, Automation Specialists, and CEO—serving as a reliable, adaptable point of support across the business.

This is more than a calendar and email job. We’re looking for someone who anticipates needs, thrives on organization, and takes ownership of making sure things don’t slip through the cracks. Requirements:

  • 2+ years of experience as a virtual assistant, executive assistant, or operations coordinator
  • Strong written and verbal communication skills in English
  • High proficiency with remote tools: Google Workspace, Slack, Notion, ClickUp, HubSpot
  • Exceptional organizational skills and a high level of reliability and discretion
  • Ability to manage multiple tasks without micromanagement
  • Proactive problem-solver with a sense of urgency and ownership
  • Comfortable working in a fast-paced, remote team environment
  • Bonus: Experience supporting teams in tech, marketing, or automation industries
