TITLE: Holistic Me After-School Program Site Coordinator

REPORTS TO: Director of Programs

BASED AT: Robert W. Coleman Elementary School

TIME: School Year: Monday - Friday 10:00am to 6:00pm

Summer: Monday - Friday 7:50am to 4:30pm (5 weeks)

SALARY: up to $60,000

JOB FOCUS: Work in an after-school program that aligns in-school and out-of-school learning, provides academic support and enrichment opportunities, and enhances social and emotional wellness.

The Site Coordinator is responsible for all aspects of the daily operation of the Holistic Me Program, ensuring that program implementation and staff productivity functions at the highest quality standard.

BACKGROUND: HLF provided 19 years of Holistic Me programming in Baltimore City. For the past few years, Edgewood Elementary School has hosted the program. The program served approximately 140 Pre-K through 5th grade students.

Our program provides children with the opportunity to build their cognitive and social skills in a caring, supportive, and safe environment. Our curriculum is threaded with experiences that encourage children to develop their inner lives through yoga, mindfulness, self-care, and appreciate the values of learning, community, and stewardship of the environment. Programming includes math intervention and snack, yoga and mindfulness training, and utilizes a curriculum that includes enrichment activities (i.e. environmental education/advocacy, art, music, civic engagement, writing, etc.) and sports fundamental training/fitness activities.

SCOPE OF ACTIVITIES: The staff of the Holistic Me After-School Program, which consists of Group Leaders, a Site Coordinator, and Academic Teachers is responsible for the smooth delivery of programming, as well as positive and productive engagement with student guardians, school staff and administration, and organizational staff. Group Leaders will maintain the integrity of Holistic Life Foundation mission and goals demonstrating HLF culture and values at all times. As employees and contractors of Holistic Life Foundation, Inc., staff members are expected to represent themselves with values that are congruent with HLF values, including health and wellness, emotional self-regulation, love, and creativity. After-School Group Leaders must be child-oriented; as role models for children in the Holistic Me program, they must utilize a high standard of conduct and positive attitude in the performance of their job responsibilities and engagement with the wider community.

PROGRAM OBJECTIVES: Create a safe environment that introduces and supports the students’ daily yoga and mindfulness practice and fosters their academic success. To that end, our goal is to create the learning environment and conditions that enable the participants to demonstrate a consistent increase in their knowledge and application of yoga and mindfulness over the course of the school year.

This will be proven through:

  1. Enhanced involvement in the practice at the daily program
  2. Demonstrated awareness through periodic testing.
  3. Increased use of relaxation techniques during stressful moments
  4. Willingness to facilitate yoga for classmates.

While yoga and mindfulness training is the core of the Holistic Me Program, we also offer math intervention enrichment activities.

PRIMARY FUNCTION: Holistic Me Site Coordinators are responsible for overseeing the implementation of the Holistic Me program. Site Coordinators carry out and plan activities, ensure safety of all children in the program, serve after school snacks, interact with children and their families, work independently as well as with a team, and create an enriching, fun, and safe environment. In addition, Site Coordinators supervise Holistic Me Program Group Leaders and Academic Teachers in the effective and responsible performance of their job responsibilities.

ESSENTIAL DUTIES & RESPONSIBILITIES

Holistic Me Site Coordinator responsibilities include, but are not limited, to:

Program Implementation

  • Promote the values and mission of HLF in all communications and interactions with children, parents, co-workers and school personnel.
  • Implement and deliver relevant after school programming for youth, Prek to 5th grade in accordance with program objectives.
  • Provide individualized and group attention for youth participants in areas of math intervention, enrichment activities, yoga and mindfulness practice, and physical fitness.
  • Directly nurture and encourage children by providing them with a variety of learning and social experiences appropriate to their age; develop curriculum and participate actively with staff in the development and implementation of daily/monthly activity plans.
  • Monitor and evaluate, on an ongoing basis, programs, services and activities to ensure safety of members, quality of programs and utilization of resources.
  • Report any and all concerns regarding children, staff, parents or facility immediately to the Director of Programs.

Staff Supervision

  • Orient and train new staff members.
  • Maintain inventory of supplies and equipment. Order or purchase necessary supplies or equipment in collaboration with HLF Administrative Staff.
  • Assist with the hiring of program staff. Provide on-going supervision to site staff, including scheduled evaluations.
  • Ensure that staff have completed their program orientation and review procedures as necessary.
  • Collect and monitor HLF time sheets using ADP and leave requests for all program staff; submit as requested.
  • Lead and engage volunteers on a daily basis as well as special events.
  • Ensure that all staff are kept informed of communications regarding the school community, HLF administration, and the planned interaction between the HLF program and that of the school through the use of weekly newsletters.
  • Provide supervision and communication consistent with HLF mission and values

Relationship Building

  • Monitor the relationships between Holistic Me staff and parents. Ensure that staff always greet parents warmly and speak to them positively about their child. Respond to and follow up on parental questions/comments.
  • Send Family Connector to present an accurate overview of what is happening each month.
  • Maintain the afterschool program facility and enforce all site operating expectations.
  • Leverage volunteers and other community resources, and engage parents to enhance programming.
  • Maintain on-going communication with appropriate school personnel including principal, maintenance staff, administrative staff and teachers through the day school staff connector.
  • Attend Community Partnership meetings.

Program Management

  • Assist in the monitoring of program budget.
  • Where applicable, be responsible for the individual files of all participating children.
  • Oversee the maintenance and development of a computerized attendance/participation database and follow up on children who are absent.
  • Maintain accurate records and statistical information that may be required by the HLF Administrative Staff and submit written reports as assigned.
  • Report any and all concerns regarding children, staff, parents or facility immediately to the HLF Executive and Administrative Staff.
  • Provide regular updates on site challenges, opportunities and best practices.
  • Oversee and implement after school program assessment tools.

Additional Responsibilities:

  • Respond according to procedure for emergency and disciplinary situations.
  • Maintain current first aid and CPR certification and ensure equipment/kits/materials are maintained and available.
  • Develop and participate in special programs, events and summer programming, as needed, for students, parents, teachers, and the broader community.
  • Facilitate staff meetings.
  • Serve as a positive and productive member of the Holistic Me Program Team, offering support and responsible behavior to one’s co-workers
  • Other duties as assigned.

QUALIFICATION REQUIREMENTS:

Educational Background:

Bachelor's degree in education, child development, psychology, social work or a related field preferred not required with extensive experience.

Experience:

  • Prior experience in after-school program coordination or management.
  • Experience working with children, particularly in elementary school settings.
  • Supervisory or leadership experience, including staff training and management.

Skills:

  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills for engaging with children, parents, and staff.
  • Proficiency in curriculum development and program planning.
  • Knowledge of yoga, mindfulness, and/or holistic wellness practices.
  • Budget management skills.
  • First aid and CPR certification.
