Role Summary
Gaia is seeking a Creative Operations & Traffic Manager to run the operational engine of our in-house Brand + Creative Studio. This role reports to the Head of Brand and Creative Design and owns the end-to-end creative workflow—intake, prioritization, resourcing, timelines, trafficking, QA, and delivery— across performance marketing, brand campaigns, lifecycle/email, social, and partner channels (e.g.,Amazon/Apple). You’ll be the connective tissue between strategy (Brand, Content, Product, Marketing), distribution teams (Growth/Performance, Organic/Lifecycle, Social, Partner Channels), and production (design, copy, video, agencies). Your goal: ship more high-quality creative, faster, with clarity, consistency, and measurable impact.
Responsibilities
What You’ll Own (Core Responsibilities)
1) Creative Intake, Prioritization & Capacity Planning
- Run the studio intake process and maintain a single prioritized creative backlog across marketing teams. · Translate business priorities into weekly sprints and production schedules. · Build and manage capacity plans across designers, editors, copywriters, freelancers, and agency partners.
2) End-to-End Traffic Management (From Brief to Live)
- Own timelines, milestones, dependencies, and stakeholder reviews from kickoff through launch. · Manage routing for approvals (brand, legal, product, channel owners) and prevent bottlenecks. · Ensure assets are delivered in the right specs, versions, and formats for each channel.
3) Creative Trafficking + Delivery Excellence
- Coordinate creative handoffs to paid media platforms, lifecycle tools, social publishing, and partner channel needs. · Maintain a clean version-control system (naming conventions, file structure, metadata) for rapid reuse and iteration. · Ensure creative QA: links, UTMs, specs, subtitles/captions, end cards, disclaimers, brand guidelines, and platform policies.
4) Performance + Testing Operations (Creative that learns)
- Partner with Performance Marketing and Analytics to operationalize creative testing: · test matrices, launch calendars, variant tracking, and “what’s live” documentation · Ensure feedback loops from performance results back into the studio workflow.
- Help implement creative learning agendas by campaign, audience, and funnel stage.
5) Tooling, Workflow Systems & Process Improvement
- Own and optimize the studio’s workflow tools (e.g., Asana/Jira/Notion/Airtable) and templates. · Define and enforce operating standards: briefs, SLAs, review windows, and “definition of done.” · Collaborate with MarTech/Marketing Ops on tagging/UTM governance and measurement readiness.
6) Agency + Vendor Coordination
- Manage day-to-day coordination with agencies/freelancers for overflow production and specialized needs. · Ensure agencies follow Gaia workflow standards (briefs, naming, deliverables, timelines, approvals).

Success in the First 90 Days · Studio intake and prioritization system running with clear SLAs and weekly shipping cadence. · A standardized briefing + trafficking workflow adopted across teams. · A single source of truth for “what creative is live where,” with version control and QA checks through Airtable. · Performance testing operations in place (test matrix + analytics + learning loop back to studio).
Qualifications
Qualifications · 5+ years in Creative Ops, Traffic, Production, or Integrated Marketing Operations. · Hands-on experience supporting paid performance creative (Meta/Google/YouTube/CTV) plus brand and lifecycle outputs. · Strong project management: can run multiple workstreams, deadlines, and stakeholders without drama. · Fluency in creative specs, production workflows, and asset delivery standards across platforms. · Comfortable in a high-velocity environment; bias for clarity, documentation, and follow-through.
Nice-to-Have
- Subscription / streaming / media experience. · Familiarity with partner channel requirements (Amazon/Apple) and merchandising calendars. · Experience building creative testing frameworks, reading creative analytics tools, and reporting loops. · Working knowledge of MarTech basics (UTMs, pixels, naming taxonomy, QA).

Location: Onsite at Gaia’s campus in Louisville, CO (This is not a remote role)
